Roll-to-Roll Printing Tutorial

A practical workflow for short-run color label production using Label Studio Creator with OKI PLAVI, OKI Pro series, and Epson ColorWorks devices.

Purpose

This guide explains how to prepare, validate, queue, print, and track roll-to-roll label jobs while reducing media waste.

It is designed for short personalized runs, typically below 5,000 labels, where every setup error can waste roll media.

1. Collect the roll and job data

Before creating the label file, write down the physical production parameters. They drive the template, preflight, queue ticket, and inventory estimate.

  • Roll width and usable print width
  • Label width and label length
  • Gap, black mark, or continuous feed mode
  • Material: paper, PP, PET, transparent, metallic
  • Color mode: CMYK or CMYK + White
  • Quantity, setup waste, calibration waste
  • Roll ID if inventory tracking is enabled

2. Create the roll template

Open a new document

Use File > New and select a roll label or continuous tape template when available.

Set label dimensions

Use the real label width and length. Do not design on A4 unless the labels will be printed as sheets and cut afterwards.

Enable production aids

Use View > Grid, View > Guides, and View > Prepress Zones.

Save a reusable template

For recurring media, keep a template per roll width, label size, sensor mode, and printer family.

3. Build the artwork

Add text, images, shapes, barcodes, and variable fields. Keep all readable information inside the safe area.

  • Use Tools > Barcode Assistant for GS1, QR, and DataMatrix setup.
  • Use Tools > Barcode Validation before production.
  • Use variable data fields for SKU, batch, serial, expiry date, or customer text.
  • Use spot colors only when the downstream RIP or export workflow expects them.
Short-run rule: do not skip validation just because the quantity is small. A 200-label mistake can still waste the setup media and operator time.

4. Configure white ink and special layers

For OKI PLAVI ES9542R, OKI Pro1050, OKI Pro9542, and other CMYK + White workflows, decide how white should be generated.

  • Object white: selected objects print in white.
  • Underprint: a white base is generated below CMYK artwork.
  • Exclusion: some objects are excluded from white underprint.
  • Choke/spread: white is slightly reduced or expanded to avoid registration halos.

5. Run preflight before output

Prepress validation

Check edges, safe zones, bleed, low-resolution images, and objects outside the printable area.

Barcode validation

Check GTIN, EAN, SSCC, GS1 AI syntax, quiet zones, check digits, and HRI.

Color/RIP audit

Check ICC setup, CMYK + White intent, spot colors, and RIP package readiness.

Ink coverage audit

Estimate coverage and detect jobs that may require density adjustment or a test run.

Waste control: never release a long roll job before a preflight pass and a short physical test.

6. Choose the output route

7. Use the production queue

Use the queue for hold/release, priority, retry, cancel, reprint, job history, and audit trail. This is critical for roll-to-roll production because a bad job can waste media quickly.

8. Track roll inventory

Use Tools > Media Inventory to create media profiles, roll stock, consumption movements, and reorder alerts.

  • Create one media profile per substrate and width.
  • Create one roll record per physical roll.
  • Apply consumption movements after test and production runs.
  • Use Sync SQLite to update the local inventory database.

9. Run a short physical test

Do not release full production first. Print 3 to 10 labels, inspect them, then release the final quantity.
